Optimizing Financial Processes: Qdoba’s Seamless Transition with NetSuite and MindStream Analytics

Qdoba

Qdoba, a prominent chain of fast-casual restaurants in the United States and Canada, specializes in Mexican-style cuisine. The implementation project was primarily focused on enhancing the efficiency and functionality of their accounting department.

MindStream Analytics partnered with Qdoba to improve the company’s financial processes, reduce manual effort, and modernize key accounting workflows in a way that preserved continuity and supported future reporting needs.

Because the accounting team was balancing operational demands with specialized reporting requirements, the solution needed to improve day-to-day usability while also supporting more complex financial and securitization processes. The engagement was designed to simplify administration, speed up adjustments, and create a cleaner path forward for future reporting changes.

The Challenge:

The Qdoba team faced several key challenges that made financial administration and reporting more complex than necessary. Tight timelines, outdated structures, and labor-intensive adjustment processes created friction for the accounting team and made it harder to work efficiently.

Securitization Transaction Differentiation. The team needed to differentiate transactions for securitization within a tight timeline, requiring a collaborative and innovative approach.
Complex Entity Dimension Management. Managing an extensive Entity Dimension with multiple, sometimes obsolete, alternative hierarchies presented a significant challenge.
Effort-Intensive Adjustments. Making adjustments in Actuals for old periods was laborious, as it required processing each month individually.
The finance team also needed to modernize processes without disrupting current artifacts or losing important data used in day-to-day work.

The Solution

Oracle NetSuite

MindStream Analytics devised strategic solutions to these challenges by simplifying dimensional design, improving data load processes, and preparing Qdoba for the future of financial reporting. The work focused on making the environment easier to manage while preserving uninterrupted workflow.

The implementation emphasized process modernization, lower operating cost, and better scalability for ongoing accounting and reporting needs. With the right structure in place, Qdoba could reduce manual rework and operate more efficiently across both current and historical data.

Key solution components included:

Repurposing Dimensions. The Emp dimension was repurposed as subsidiaries, simplifying the Entity dimension and enabling transaction differentiation based on the subsidiary.
Entity Dimension Cleanup. By removing unused members, the team streamlined the Entity Dimension to two-thirds of its original size.
Implementation of Pipeline Tool. A new Pipeline tool in EPM Cloud was implemented, allowing for the loading of an old period and recalculating all data moving forward without the need to reload each period individually.
Ensuring Continuity. Care was taken to ensure that current artifacts were not affected and no vital data was lost, allowing for uninterrupted workflow continuation.
Modernization of Integration Process. The new Pipeline utility enabled more efficient and cost-effective data loads, eliminating the need for external servers.
Introduction to Reports 2.0. MindStream prepared the customer for the transition to Reports 2.0 in light of the impending deprecation of Financial Reporting.

The Result

The implementation process was highly successful and gave Qdoba a smoother operating model for financial data handling and reporting. The work not only simplified current processes but also positioned the organization for future reporting requirements.

By removing unnecessary complexity and introducing more efficient tools, Qdoba gained a better foundation for both ongoing maintenance and longer-term reporting evolution. The accounting team could operate with greater confidence that historical updates, entity management, and future reporting transitions would be easier to manage.

Seamless Migration. Qdoba experienced a smooth transition with uninterrupted workflow.
Efficiency and Cost-Effectiveness. The new tools and streamlined processes led to a more efficient and cost-effective operation.
Future-Ready Reporting. The team is now well-prepared for the transition to Reports 2.0, which is crucial for their data consumption needs.
Rachel Clark, Director of Reporting and Securitization at Qdoba, praised the implementation, stating that it was one of the best implementations they had done.
This case study shows how the strategic implementation of NetSuite by MindStream Analytics helped Qdoba optimize financial operations, address complex challenges with innovative solutions, and set a stronger standard for efficiency and effectiveness.
Overall, the project gave Qdoba a more maintainable and future-ready financial environment, reducing manual friction while supporting better control, cleaner data structures, and more efficient reporting workflows.

What dimension was repurposed during the project?

The Emp dimension was repurposed as subsidiaries to simplify the entity structure and support transaction differentiation.

What did the Pipeline tool improve?

It improved old-period loading and forward recalculation by eliminating the need to reload every month individually.

Did the implementation interrupt operations?

No, continuity was preserved and current workflows were protected during the transition.

What future reporting change did the project support?

The work prepared Qdoba for the move to Reports 2.0 as Financial Reporting approached deprecation.
